Exhibitions

The Exhibition Hall of Pacifico Yokohama will hold a variety of exhibitions, such as psychological literature, experimental equipment, and test materials. Potential exhibitors are requested to contact the ICP2016 office.

Congress Program and Abstracts

The Congress Program and Abstracts will be available on the website (http://www.icp2016.jp/) prior to the Congress. Participants will receive a copy of the Final Program with Congress material on site.

Congress Proceedings

A specially edited volume of the Congress Proceedings will be published as a compilation of selected presentations.

Letter of Invitation

If you require an invitation letter for attending ICP2016, the organizing committee will provide this letter. Please send a request by e-mail to the organizing committee (invitation-icp2016@psych.or.jp) informing them of your full name, affiliation, e-mail address and telephone number.

If you require an invitation letter including information about the presentation title, the organization committee will provide this letter after you have registered for the congress and completed payment of the registration fee. Please send a request by e-mail to the organizing committee (invitation-icp2016@psych.or.jp) informing them of your full name and registration ID.

The invitation letter will then be sent by return e-mail.

Certificate of Attendance

A “Certificate of Attendance” will be provided to all participants at the registration desk in PACIFICO Yokohama (Congress Venue).

A “Certificate of Presentation” will be provided upon request after your presentation in the venue.

Visa

Message from ICP2016 Office

ICP2016 Office had previously had some delay in issuing ‘Documents for visa application’ (see details below), however normal operations have been resumed.

  • 1) If you have already sent your request but still have not received any reply from us, there is a possibility that your request did not reach us. Please refer to the details below and kindly send you request with the necessary documents again to the ICP2016 office (visa-icp2016@psych.or.jp) by e-mail.
  • 2) There is limited time left for participants who need to apply for visa through our office in order to attend ICP2016, as the issuing of the “Documents for visa application” from ICP2016 and actual visa application will take up to several weeks. Participants who have not yet sent any request to ICP2016 are strongly urged to prepare and send the necessary documents to our office (visa-icp2016@psych.or.jp) as soon as possible. While our office will do our utmost to expedite the issuing of ‘Documents from Japan’, please understand that we cannot guarantee that the processing of your visa application at the Japanese embassy/consulate in your country will be completed in time for your planned departure.
  • 3) Our office will only be able to process visa documents applications received by June 20, 2016 (no later than 24:00 Japan Standard Time).

All participants entering Japan must have a valid passport. In addition, participants coming from certain countries must have a visa issued by a Japanese embassy/consulate in their country. Please check visa requirements on the website of the Ministry of Foreign Affairs of Japan (http://www.mofa.go.jp/j_info/visit/visa/index.html). ‘Documents from Japan’ must be prepared before any visa application is made to a Japanese embassy/consulate.
The organizing committee will provide the “Required documents for a visa application to enter Japan” to participants who have completed payment of the registration fee.

Please fully complete the "Information for visa" form, and then send it together with copies of the following documents:

  1. Passport (with your name and photo clearly visible)
  2. Document verifying your organizational affiliation and position (e.g., staff/student/employee ID card)
  3. Air ticket (electronic ticket itinerary/receipt)
  4. Hotel booking confirmation

Please send the completed form along with all above documents (No. 1 to 4) to the ICP2016 office (visa-icp2016@psych.or.jp) by e-mail. If we do not receive ALL necessary information and documents (No. 1 to 4), ICP2016 will NOT be able to process your request and issue the “Documents for visa application.”

Please note that the “Information for visa” form and attached materials will be reviewed by ICP2016 office. Any inconsistencies between the information and the attached materials (e.g., differences in the spelling of your name, length of stay, etc.) will delay the process of issuing of your “Documents for visa application.”

After receiving the complete set of documents (No. 1 to 4), the issuing of “Documents for visa application” from ICP2016 will take up to several weeks. Moreover, after applying at the Japanese embassy or consulate in your country, it may take several weeks for the visa to be issued. We strongly urge you to manage your visa application schedule accordingly.

The ICP2016 office will create the necessary “Documents for visa application” using the “Information for visa” form and the submitted documents.

The validity of all documents is three months.

Notes
Please note that documents issued by us do not necessarily assure the applicant will obtain a visa. The Japanese embassy or consulate may also have separate requirements for (other) documents. ICP2016 will only process applications with period of stay between July 22nd and 31st, 2016.

Insurance

The Congress fee does not include insurance. Participants should determine their own insurance needs.

Participants with Special Needs

All facilities at Pacifico Yokohama (elevators, slopes, toilets, seating spaces, vending machines, and parking lots) are accessible by wheelchair.

Accommodation

The Japan Travel Bureau (JTB) is officially appointed as the agent for accommodation. Congress participants are assured of a range of quality hotels and other accommodation at reasonable prices, which have been secured by JTB. A list of such accommodation will be available on our website during 2015 and will be constantly updated until the Congress. Travel

Most airline networks fly to Japan. Tokyo has two convenient international airports (Narita and Haneda) that offer frequent limousine buses and trains to Yokohama. There will also be a Tours and Travel Desk at the Congress to cater to participants' needs.

Currency

Japan uses the Yen (JPY: ¥). Foreign currency may be changed at airports, hotels, and banks. Card withdrawals can also be made at numerous ATMs, although not all ATMs accept foreign cards. Credit cards (Visa, Master, Diners, and Amex) are widely accepted in shops and restaurants.

Weather

July is hot and humid in Yokohama. The average high and low temperatures are 29ºC/84ºF and 22ºC/72ºF. However, the Congress site is well air conditioned. Also, when it becomes cool in the evening, you can take a bay cruise or enjoy a grand fireworks display.

City of Yokohama

Yokohama is Japan's second largest city and the capital of Kanagawa Prefecture. It is known for its international atmosphere thanks to its unique history as Japan's first "treaty port." Towards the end of the Edo Period (1603-1867), during which Japan maintained a policy of self-isolation, Yokohama's port was one of the first to be opened to foreign trade in 1859. Yokohama's cityscape is a fusion of lush nature and modern urbanism that provides ample opportunities to experience traditional culture, various cuisines, and diverse entertainment. Yokohama is truly a tourist city full of resources and attractions that offers easy access to Tokyo (only 30 min by train).

Satellite Conferences

Various satellite conferences are being planned around ICP2016. A list of satellite conferences will be available on our website in 2015 and will be constantly updated. The annual meeting of the Japanese Neuroscience Society (JNS) will be held just before ICP2016 (July 19-22, 2016) in Pacifico Yokohama. Some joint programs are scheduled to be held in both the JNS meeting and ICP2016.
